Registering a sole proprietorship with SSM costs RM30 a year under your own IC name or RM60 a year under a trade name, plus RM5 per branch and RM10 if you want the Business Information printout your bank will ask for. A Sdn Bhd costs RM1,000 to incorporate, plus RM50 if you reserve the name first, and realistically RM2,570 to RM3,750 in year one once a company secretary is in the picture. An LLP is RM500. A personal name registration can be approved the same day. Watch out for what we call the RM120 trap: lookalike portals that charge double the official SSM fee for the exact same transaction you can do yourself in about twenty minutes.
Here is the thing that catches people. The registration fee is almost never the expensive part. A freelancer in Klang pays RM40 to be fully legal. A two-person consultancy in KL pays RM1,050 to the government and then another RM1,500 to RM2,700 to the people who keep it compliant. Same commission, same portal, wildly different bills, and the gap has nothing to do with SSM’s fee schedule.
What You’ll Need Before You Start
Quick Answer: For a sole proprietorship you need a MyKad, an activated ezBiz account, a business address, an MSIC business activity code, and RM30 to RM75. For a Sdn Bhd you need at least one resident director, one shareholder, a registered office address, RM1 of paid-up capital, and a licensed company secretary appointed within 30 days of incorporation.
| Route | Portal | You must have | Time to prepare | Cash needed |
|---|---|---|---|---|
| Sole proprietorship / partnership | ezbiz.ssm.com.my | MyKad, verified ezBiz ID, address, MSIC code | 20 to 30 minutes | RM30 to RM75 |
| Sdn Bhd | mycoid2016.ssm.com.my | Resident director, shareholder, registered office, cosec | 2 to 5 working days | RM1,050 plus secretarial fees |
| LLP | myllp.ssm.com.my | Two partners, compliance officer, registered office | 3 to 7 working days | RM500 plus professional fees |
What each route demands before you can pay anything. Source: SSM Guidelines for Registration of New Business and SSM incorporation procedures, retrieved 11 August 2026. Timings reflect preparation, not SSM processing.
One prerequisite trips up more first-timers than anything else: ezBiz identity verification. New users have to prove who they are once, either at an SSM counter or through a scheduled video verification. Do that before the day you plan to register, not during.
Why the Route You Pick Changes the Fee More Than Anything Else
Quick Answer: A sole proprietorship is registered under the Registration of Businesses Act 1956 and renewed annually, which is why it is priced at RM30 to RM60 per year. A Sdn Bhd is incorporated once under the Companies Act 2016 for RM1,000 and then carries permanent statutory obligations, which is where the real money goes.
The RM30 and RM60 split is not arbitrary. Registering under the name printed on your IC gives the Registrar nothing to check, so those applications frequently clear within the same working day. A trade name has to be approved before it can be registered, which means someone has to screen it against existing registrations and restricted words. You pay double because you are buying an approval decision, not just a filing.
Companies work the other way round. SSM charges RM1,000 once and then the statute takes over. Section 236 of the Companies Act 2016 requires a licensed company secretary within 30 days of incorporation. Section 68 requires an annual return within 30 days of each incorporation anniversary, at RM150 a filing. Sections 248 and 259 require financial statements to be prepared and lodged. Audit is required unless the company falls inside the thresholds in Practice Directive 10/2024, which phase upward across three years and reach RM3 million of revenue, RM3 million of assets and 30 employees for financial years starting on or after 1 January 2027. For a financial year starting during 2026, the applicable threshold is RM2 million and 20 employees.
Key takeaway: If you are comparing RM60 against RM1,000, you are comparing the wrong two numbers. Compare RM60 a year against roughly RM2,000 to RM4,000 a year.
Step 1: Decide Between a Personal Name and a Trade Name
Quick Answer: A personal name registration costs RM30 a year and usually needs no approval. A trade name costs RM60 a year and must be approved by SSM before registration.
If your invoices go out as “Nurul Aina binti Rahman” and your clients are businesses that pay by transfer, the personal name is enough. If you want a shopfront, a brand, or a bank account in a name customers recognise, pay the RM60.
Before you commit to a trade name, search it. SSM’s e-Search shows what is already on the register, and a name that is identical or misleadingly similar to an existing business gets rejected. So do names containing restricted words such as bank, insurance, or national without prior approval.
Done looks like: three candidate names, none of which return an obvious match on e-Search. Common mistake: picking one name, falling in love with it, and having no backup. The rejection does not refund your time.
Step 2: Create and Verify Your ezBiz Account
Quick Answer: Register at ezbiz.ssm.com.my with your NRIC details, then complete the one-time identity verification either at an SSM counter or by scheduled video call before you can submit anything.
Sign up, verify your email, then request verification. The video option means you do not have to queue, but slots get taken, so book it a few days ahead of when you want to trade.
Done looks like: you can log in and see “My Business Services” without a verification banner. Common mistake: creating the account on the morning you planned to register and discovering verification is a separate appointment.
Step 3: Submit Form A and Pay
Quick Answer: Complete Form A with your business address, commencement date and MSIC activity code, tick the declaration, and pay RM30 or RM60 plus RM5 for each branch.
Your MSIC code describes what you actually do. Banks, LHDN and some licensing bodies read it, so pick the one that matches your real activity rather than the closest impressive-sounding option. Add branches here if you trade from more than one location. Payment is by FPX or card.
Add the RM10 Business Information printout. It is optional in the portal and effectively mandatory in real life, because most banks want the business profile alongside the certificate when you open a current account.
Done looks like: a payment receipt and a transaction reference in your renewal history. Common mistake: skipping the RM10 printout and paying again later, after the bank turns you away.
Step 4: Download the Certificate, Then Handle the Licences SSM Does Not Issue
Quick Answer: Your Business Registration Certificate is downloadable from the portal, often within minutes for a personal name registration and within one to three working days for a trade name. It is not a licence to operate a premises.
This is where the guides usually stop and the real world does not. SSM registers your business. Your local council licenses your premises and your signboard, and it will want to see the SSM certificate first. Fees vary by council and by premises type, so check your PBT before you sign a lease, not after. If you are running events rather than a shop, the requirements are different again, and our guide to event permits in Malaysia and the walkthrough of DBKL and MBPJ approval for outdoor events cover what those cost and how long they take.

Key takeaway: Budget for the council licence in the same week you budget for SSM.
Step 5 to 7: The Sdn Bhd Route
Quick Answer: Reserve the name for RM50 through MyCoID if you want it held for 30 days, incorporate for RM1,000, then appoint a licensed company secretary within 30 days. The government’s share is RM1,050.
Step 5. Reserve the name (RM50, optional). Reservation holds an approved name for 30 days and can be extended. You can also skip it and submit the name inside the incorporation application, which saves RM50 and risks a rejection that costs you the queue position rather than the fee.
Step 6. Incorporate through MyCoID (RM1,000). You lodge director and shareholder particulars, the registered office address, share capital and the business activity. Paid-up capital can legally be RM1, though banks and Employment Pass applications will expect considerably more. Most applications are approved within one to three working days. The RM1,000 does not change with your capital.
Step 7. Appoint the company secretary within 30 days. Section 236 makes this compulsory and the penalty for missing it runs to RM50,000. Secretarial firms typically charge RM800 to RM1,500 to handle incorporation and RM720 to RM1,500 a year on retainer after that.
Done looks like: a Certificate of Incorporation, a signed cosec appointment, and a company bank account application in progress. Common mistake: treating the RM1,000 as the cost of a Sdn Bhd and being surprised by an RM2,000 invoice in month one.
Every SSM Fee, In One Table
Quick Answer: Official SSM fees in 2026 run from RM5 for a branch registration to RM1,000 for a Sdn Bhd incorporation. Nothing on this list is negotiable, and nothing on this list is charged twice.

|---|---|---|---|
| Sole proprietorship, personal name | RM30 | ezBiz | Per year |
| Sole proprietorship or partnership, trade name | RM60 | ezBiz | Per year |
| Branch registration | RM5 per branch | ezBiz | Per year |
| Business Information printout | RM10 | ezBiz | Per request |
| Late renewal compound, first month | RM20 | ezBiz | One-off |
| Late renewal compound, each further month | RM10 | ezBiz | Monthly |
| Sdn Bhd name reservation (optional) | RM50 | MyCoID | Per name, 30 days |
| Sdn Bhd incorporation | RM1,000 | MyCoID | One-off |

Renewal is worth one line of its own. You can renew for one to five years at a time at the same annual rate, any time before expiry or up to twelve months after it. Past twelve months, the registration is gone and you start over as a new business, which means someone else may have taken your trade name in the meantime. Trading on an expired registration is an offence under the Registration of Businesses Act 1956, carrying a fine of up to RM50,000 or up to two years’ imprisonment.
Key takeaway: Renew for three years if you are certain about the name. RM180 once beats three chances to forget.
The RM120 Trap
Quick Answer: Several lookalike portals with SSM-shaped domain names charge RM120 for a one-year trade name registration or renewal that SSM itself charges RM60 for. The markup buys you nothing that the official portal does not already do.
We call it the RM120 trap: paying an agent’s rate for a government transaction priced at half that, on a portal you mistook for the official one. Sampling third-party registration sites in August 2026, published rates included RM120 for a single-year renewal and RM120 a year for a trade name registration, against SSM’s own RM60. Some quote RM60 for a personal name where SSM charges RM30.
None of this is illegal. These are agents, and some people will happily pay for someone else to fill in Form A. The problem is that the sites are easy to mistake for SSM because the domains borrow the ezBiz name, and nothing on the page tells you the official fee is half.
The official portals are ezbiz.ssm.com.my, mycoid2016.ssm.com.my and myllp.ssm.com.my. If the domain does not end in ssm.com.my, you are on an agent’s site.
Key takeaway: Check the domain before you check out. On a five-year renewal, the trap costs you RM300.
What Year One Actually Costs
Quick Answer: A freelancer registering under a personal name spends RM40 in year one. A stall with a trade name and one branch spends RM75. A two-partner Sdn Bhd spends RM2,570 to RM3,750 once secretarial fees are included.
| Scenario | Government fees | Professional fees | Year one total |
|---|---|---|---|
| Freelance designer, Klang, personal name, no branch | RM30 + RM10 printout | None | RM40 |
| Nasi lemak stall, trade name, one branch | RM60 + RM5 + RM10 printout | None | RM75 |
| Two-partner consultancy, Sdn Bhd, KL | RM50 + RM1,000 | RM800 to RM1,500 incorporation, RM720 to RM1,500 retainer | RM2,570 to RM3,750 |
Worked models, not survey data. Government figures are SSM’s published fees; professional fee bands reflect commonly published Malaysian secretarial pricing sampled on 11 August 2026. Excludes premises licensing, accounting and audit.
The Sdn Bhd annual return at RM150 does not land in year one. It falls due within 30 days of your first incorporation anniversary, which means the year two bill is higher than the year one bill for reasons nobody warns you about.
If you are not sure you need premises at all yet, the maths on a desk is worth running first. A hot desk in KL starts around RM169 a month, and our breakdown of coworking spaces in Kuala Lumpur works through where a day pass beats a monthly membership.
Troubleshooting: When SSM Registration Goes Wrong
Quick Answer: The five common failures are a rejected trade name, stalled identity verification, a registration expired past twelve months, a mismatched MSIC code, and a bank that refuses the account.
Trade name rejected. Usually an existing similar registration or a restricted word. Fix: run all three candidates through e-Search first, and avoid words implying licensed activity you do not hold.
Identity verification stuck. Fix: book the video verification slot rather than waiting for a counter visit, and use the name exactly as printed on your MyKad.
Expired more than twelve months ago. You cannot renew it. Fix: register as a new business and accept that the old registration number goes with it. If the trade name is still free, take it back immediately.
Wrong MSIC code. Common when people pick an aspirational activity. Fix: notify SSM of the change through ezBiz and get it corrected before your next renewal, so the certificate you hand the bank matches what you actually do.
Bank refuses the account. Almost always a missing Business Information printout, a mismatch between the certificate and your IC details, or a partnership without all partners present. Fix: buy the RM10 printout and call the branch to confirm their document list before you go.
When You Should Not Register a Sdn Bhd
Quick Answer: If your profit is under roughly RM100,000 a year and you carry no staff, no lease and no meaningful liability, a Sdn Bhd will usually cost you more in compliance than it saves in tax.
I will be blunt about this because most guides on this topic are written by people who sell incorporation services. A Sdn Bhd earns its keep when profit is consistently high enough for the SME corporate rate to beat your personal marginal rate, when you have real liability to put behind a corporate veil, when you need financing, or when a client will not contract with an individual. Until one of those is true, you are paying RM2,000 to RM4,000 a year for a structure doing nothing.
The hidden costs nobody quotes upfront: certified true copies charged per page, resolutions charged per document, exit fees if you change secretary, and an accounting bill that starts around RM1,800 a year and climbs with transaction volume. A sole proprietorship has none of these.
Two honest counterpoints. Converting later is not free either, and starting as a Sdn Bhd avoids re-papering contracts, bank accounts and licences down the line. And if you are already invoicing across the Causeway, the structure question gets more complicated, which is where our guide to opening a business in Singapore as a Malaysian is worth reading before you commit either way.
Frequently Asked Questions
How much does SSM registration cost in 2026? A sole proprietorship costs RM30 a year under your IC name or RM60 a year under a trade name, plus RM5 per branch and RM10 for the Business Information printout. A Sdn Bhd costs RM1,000 to incorporate, plus an optional RM50 name reservation. An LLP costs RM500. These are SSM’s own published fees.
How long does SSM registration take? A personal name registration on ezBiz is often approved within the same working day, sometimes within the hour. A trade name takes longer because the name needs approval first, commonly one to three working days. A Sdn Bhd through MyCoID is typically one to three working days after payment, assuming the name and documents are clean.
Can I register with SSM myself, or do I need an agent? You can do it yourself in about twenty minutes on ezbiz.ssm.com.my once your identity is verified. Watch for the RM120 trap: agent portals with SSM-lookalike domains charging RM120 for the same RM60 transaction. Agents are legitimate, but check the domain ends in ssm.com.my before paying anything.
What happens if I forget to renew my SSM registration? A compound applies from day one after expiry: RM20 for the first month and RM10 for each month after. You can still renew for up to twelve months past expiry. Beyond that, the registration is terminated and you must register a new business, potentially losing your trade name to someone else.
Do I need a licence from my local council as well? Yes, in most cases. SSM registers the business; your local council licenses the premises and the signboard, and it will ask for your SSM certificate as part of the application. Fees vary by council and premises type, so confirm with your PBT before signing any lease or ordering signage.
Is a sole proprietorship or Sdn Bhd better for a small business? A sole proprietorship costs RM30 to RM60 a year with no company secretary, no annual return and no audit. A Sdn Bhd costs roughly RM2,000 to RM4,000 a year to maintain but limits personal liability and unlocks the SME corporate tax rate. Below about RM100,000 in annual profit, the sole proprietorship usually wins.
Do This Today
Open ezbiz.ssm.com.my, create the account, and book your identity verification. That single step is the bottleneck in every delayed registration I have seen, and it costs nothing.
Once the certificate is in hand, the next two bills are usually a workspace and a licence. Both are priced in ringgit across our Business guides, including what a KL desk costs and what the councils charge.
